Education Administrative Assistant
Position: Regional Adult Education Network Administrative Assistant
Division: Education & Interactive Services
Reports To: Director, Regional Adult Education Network
Classification: Full-Time, Non-Exempt
Hours: 8:30 a.m. – 5:00 p.m.
Duties Include:
- Assist Director in coordinating trainings/workshops and project workflow. Plan corresponding time frames and processes for implementation with Director.
- Maintain databases and records of participants, agencies, trainers, training locations, etc.
- Initiate communication between Adult Education Network and participating agencies through online newsletter, email and phone contacts. Regularly deal with confidential information.
- Schedule and facilitate arrangements for trainings/meetings: including reserving facilities and negotiating hospitality contracts, creating marketing material and publicizing trainings through email, web site, flyers/catalog and newsletters, coordinating registration (online, phone and email), invoicing participants/agencies, taking and transcribing meeting minutes.
- Provide customer service and arrangements with contract trainers: Prepare materials for trainings – collect necessary materials from trainers, make copies, prepare folders, and organize necessary materials and equipment for specific trainings.
- Provide Web updates for RAEN website using Dreamweaver and other web tools.
- Research training topics,
materials & methodologies for possible training and workshop sessions
– via interviews, technical reading & internet research.
- Attend trainings and workshops to supervise registration and facilitation - including some evening and weekend events.
- Create training materials via
Power Point for WXXI & RAEN station tours & informational
sessions.
- Assist Director on site visits giving feedback for networking purposes & program evaluation.
- Attend staff development, student & teacher appreciation events when invited by area programs.
- Collaborate with staff members of WXXI, area agencies and other RAENS to maintain and enhance our services.
- Provide technical assistance
for implementation and maintenance of computers programs, e.g. courseware
and other online media systems.
- Collect, database and file evaluations and summarize evaluations for Director, trainers and Advisory Board.
- Maintain files and office
inventory; order supplies.
- Prepare purchase orders in SBS
accounting software. Monitor budgets and track billing as auditable
files.
- Assist Director in the creation of publicity materials, newsletters, e-news, web site updates, and quarterly report and annual reports to Advisory Board, WXXI and New York State Education Department.
- Participate in station events.
- Other divisional duties as assigned.
EDUCATIONAL & EXPERIENCE REQUIREMENTS:
Required: Associates degree or equivalent and a minimum of
two years office experience, preferably in an educational, public relations or
customer service environment. Bachelor’s degree a plus.
KNOWLEDGE & SKILL REQUIREMENTS:
Excellent work ethic, ability to work with a team and organization skills required. Able to
problem solve and work to ensure successful training events. Neat, accurate and precise in detail work
Strong computer, proofreading, writing and organizational skills. Full proficiency in MS Word,
MS Excel, MS Access, MS Publisher and Use of the Internet. Basic Web site maintenance and
updating experience a plus. Ability to deal effectively with the customers and determine
task priorities. Database management and experience with tracking budgets and billing.
Excellent Customer service experience. Enterprising, energetic and enthusiastic. Prior experience with event management and coordination a plus.
NYS Driver's License
PROBLEM SOLVING: Perform duties to assist the Education &
Interactive Services team which require coordinating, prioritizing, working
independently and meeting deadlines.
